Why can’t I add a role

Understanding date warnings when adding a role

Why does this warning appear?

Sometimes, when adding a role to a user, you may see a warning saying "Member already added with the selected role".

This happens when a role already exists for the selected date. Each role can only have one date in the system, so you cannot add the same role again for the same date.

To fix this, you need to adjust the dates so they do not overlap with an existing role. See the example below.

How to check a user's role history

To see which dates a user already has a role for, you can check the role history of a user.

Follow these steps:

  1. Go to Analytics > Custom Report.

  2. Under Filters, select the following:

    1. Units: We recommend selecting all units.

    2. Employees: Select the employees whose role history you want to view.

    3. Data: Select Roles, First name, and Last name.

    4. Date: Select a date in the past to view historical roles.

  3. Make sure you are standing on the correct unit.

  4. Download the report to see the user's complete role history.

You can use this report to check which dates already have a role and find out where you need to make changes.

Historical roles cannot be removed directly in the system. They can only be removed using API calls (https://developer.quinyx.com/api/v3/specs/quinyx-public-api-v3/role-assignment/deleteroleassignment).

Example

The screenshot below show what the report and role history look like.

Let's use the following example to explain how the dates work.

You are trying to add an Employee role to a user in the Turku unit. You enter 29.06.2025 as the start date, but the system shows a warning and does not let you add the role.

When you check the Role History report, you can see that the employee already has the following role in Turku:

role.employee, Turku (01.01.2025 to 30.06.2025)

This means you cannot use 29.06.2025 as the start date because the employee already has the same role in the same unit during that period. As you can see the role is valid up until 30.6.2025.

You will need to set the new start date to 01.07.2025, the day after the existing role ends. Or any day after 30.6.2025. But not a date between the time span 01.01.2025 to 30.06.2025.
